General Terms and Conditions
The terms "we", "us" and "our" refers to Travel Club Destinations and the term "you" refers to the individual who accepts this agreement.
By booking with Travel Club Destinations, referred to as TCD hereafter, you agree to the general/terms and conditions contained herein. Any payment or continuation constitutes acceptance of these terms. All policies, procedures and terms contained herein are subject to change at any time without notice at TCD’s sole discretion. The noted terms and conditions apply to all aspects of booking including but not limited to lodging accommodations, air travel, rental agreements, tours and activities, etc. Suppliers terms and conditions will also apply to your booking and will be in addition, not in lieu of. Contracted group vacations have special terms and conditions— please refer to your group contract. All communications, including questions about changes, cancellation, payments and refunds, must be communicated via your Travel Advisor.
TCD uses the personal data you disclose about yourself only for the purpose of planning and processing your requested travel purchase. We retain your personally identifiable data only as long as that processing requires. We do not share any of your personal data with any third party except for the purpose of completing your purchase, and then only with third-party travel providers and credit card processors who protect and only process your personal data for the limited purpose of this travel purchase. Following the completion of your travel that is the subject of this transaction, your personal information shall be securely destroyed unless TCD is required by law to retain it, and then it will be retained only for that limited legally required purpose.
TCD is acting as an agent for this independent third-party supplier and not as a tour operator itself. All rates are subject to restrictions, availability and change. Standard policies, payments, and penalties outlined below may be more restrictive during holidays and special events. No refunds will be made for special events, shows, or attraction passes.
You authorize TCD to charge the credit card or bank account indicated on the invoice, once received, for the noted amount on the date provided. All payments are for the services described on the invoice at the time of receipt. You understand that all payments made to TCD/supplier are non-refundable, unless otherwise stated. You certify that you will not dispute the payment with your credit card company, so long as the transaction corresponds to the terms indicated on the invoice/proposal or itinerary. Charges are payable ONLY to InteleTravel.com or the hotel, resort, tour operator, cruise line or other travel supplier. TCD or Independent Travel Advisors do not accept and process charges through any other account, or accept checks, cash or other forms of payment with the exception of custom planning fees.
You agree that TCD is not responsible for any errors or omissions in any quotes, advertisements, including on our website, resulting in inventory, content, or pricing discrepancies nor is TCD responsible for any errors or omissions that may occur as a result of incorrect information from third parties. Suppliers reserve the right not to honor any published prices that it determines were erroneous due to electronic, printing, or clerical error. You acknowledge this right and agree to hold TCD harmless for any actions or damages arising from Supplier pricing. TCD is not responsible or liable for any damages or cancellations arising from or related to any act of God or public enemies, arrest, restraints of any government or rulers of people, piracy, war, revolution, extortion, terrorist activity, threatened or actual rebellion, political upheaval, civil unrest, riots, fire, lockouts, explosion, collision, weather conditions, incident to the sea, mechanical or construction failures or difficulties, diseases, local laws, abnormal conditions or developments, closure of airports/seaports/hotels/train stations, carrier or supplier logistical problems, computer problems, food or water poisoning, illness, grounding, perils of the sea, rivers, canals, locks or other waters, perils of navigation of any kind, theft, accident to or from machinery, boilers, or latent defects even though existing at the commencement of the trip, desertion or revolt of crew, or lost/damaged/delayed luggage. TCD is not liable for any medical emergencies that present due to accident, illness or otherwise.
TCD reserves the right to charge Passenger(s) for any increase in taxes, fees or surcharges (i.e. fuel). You acknowledge this right and agree to pay any such additional taxes, fees, and surcharge.
Quote/Proposal
Trip Protection
For your protection, travel insurance is strongly recommended and available upon request. You can arrange for travel protection for Medical Expenses, Baggage Delays/Loss, Trip Delay or Cancellation, and other coverage to be added. There may be specific windows for additions of certain protections. Please be aware that most policies may not cover epidemics and pandemics, especially during travel warnings. Our description of insurance does not constitute a binding assurance. You agree to hold us harmless for your decision not to purchase travel insurance or for any denial of claims by the insurer, particularly related to COVID-19 or any other policy claim.
To decline recommended travel insurance, your signature on a separate insurance waiver form is required. Final travel documents (tickets, vouchers, etc.) cannot be sent to you prior to receipt of the signed insurance waiver if coverage not added.
Travel Documents
The following information is based on current requirements for U.S. citizens at time of publication. This information may change. Please contact your destination consulate for the most current requirements on your travel date.
Proper documentation is YOUR responsibility. Entry & re-entry rules are country specific. You assume full and complete responsibility for checking and verifying any and all passport, visa, vaccination, or other entry requirements of your destination and your connecting points, and all conditions regarding health, safety, security, political stability, and labor or civil unrest. Make sure to note rules are subject to change whether your travels are foreign or domestic.
Passengers returning to the U.S. by air from any international destination must have a valid passport and may be denied boarding by the airline if the passport is damaged, mutilated, or has excessive wear. A “Passport Card” is not acceptable. If your name on your passport does not match your name on your travel documentation, you will not be allowed to travel. A passport valid for up to 6 months past the date of completed travel is required when traveling internationally. Married or divorced women traveling under names other than what is printed on their travel documents must supply a marriage license and/or divorce decree. You will be asked to provide personal identifiable information, matching your passport on a separate form.
Passports are NOT required for travel within the continental U.S., Hawaii, Puerto Rico, and the U.S. Virgin Islands. However, travel to these U.S. destinations/ U.S. territories requires a valid state/government-issued picture I.D. or valid state-issued driver’s license. Beginning May 7, 2025, your valid state/government-issued picture I.D. or valid state-issued driver’s license must be compliant with the Real ID ACT in order to board domestic flights and access certain federal facilities. Visit dhs.gov/real-id for more information. If it is not compliant, visit tsa.gov/travel/security-screening/identification for alternate forms of acceptable ID.
For travel by other means such as Cruise Ship, your travel document requirements can be provided based on destination and itinerary.
By continuing, you acknowledge that you have read and understood the passport requirements for your respective destination., the cancellation and refund policies and any other documents needed to make an informed decision. You also confirm that you understand that valid passport and/or VISA is required for international travel and accept the associated risks.
You understand that you must have a valid passport of VISA prior to the start of your intended travel and any failure to obtain necessary documents may result in trip cancellation in accordance with the terms and conditions.
Any passenger who is denied boarding due to lack of proper documentation will have their vacation cancelled. Failure to comply with the above requirements will result in you not being allowed to travel and no refund will be given.
Booking Accuracy/Legal Names
Passenger is required to immediately review all aspects of their booking to verify (but not limited to): passenger names, mailing address, email address, telephone, date of birth, pricing, airfare, arrival/departure airports, accommodations and organized activities on your booking receipt. Please notify TCD immediately if any omissions and/or corrections are needed regarding the booking details. Passenger(s) voluntarily assumes full & sole responsibility for any and all risks and/or costs involved with failure to report such errors and/or omissions. Passenger is required to verify the accuracy of the passenger’s LEGAL first & last names. It is mandatory that guest names be identical to the Passenger(s) LEGAL first and last names and identical to the names as they appear on booking and travel documents.
Denial of Entry
Entry & re-entry rules are country specific. You assume full and complete responsibility for checking and verifying any and all passport, visa, vaccination, or other entry requirements of your destination and your connecting points, and all conditions regarding health, safety, security, political stability, and labor or civil unrest at such destination. Make sure to note rules are subject to change whether your travels are foreign or domestic. Many countries require your passport to be valid for six months or more after your date of entry.
Certain countries may deny entry to travelers with even a minor criminal record, and if not a U.S. citizen, entry back into the U.S. Check with the U.S. Embassy and the embassy or consulate of the country being visited to ensure you can travel as planned. This may include other instances such as child support obligations and more. TCD does not accept responsibility if you are denied entry and cancellation penalties apply.
Cancellations
All cancellations or no-shows are subject to penalties imposed by the supplier to be paid by you.
All cancellations MUST be notified in writing to TCD. Once TCD has confirmed the cancelation request and has notified the Passenger of any cancellation fees imposed, the passenger’s cancellation will be confirmed via email when processed.
Passengers agree to hold TCD harmless for any financial penalties or fees imposed by by suppliers, hotels, airlines, cruise lines, tour agencies or any other travel provider due to cancellations or postponements and agrees not to institute a credit card dispute or “charge back” to TCD for said penalties or fees.
If due to cancellations or postponements, Client is offered and chooses a voucher instead of a refund, Client understands that TCD has no special knowledge of the Supplier’s financial condition and assumes no liability for recommending a credit. Client agrees that TCD is not responsible for a failure of a supplier to not honor trip credits due to supplier financial default or expiration of vouchers.
Without limitation, Passenger(s) assume the risk of, and agree that TCD is not liable for any damages arising from or related to any act of God or public enemies, arrest, restraints of any government or rulers of people, piracy, war, revolution, extortion, terrorist activity, threatened or actual rebellion, political upheaval, civil unrest, riots, fire, lockouts, explosion, collision, weather conditions, dangers incident to the sea, mechanical or construction failures or difficulties, diseases, local laws, abnormal conditions or developments, closure of airports/seaports/hotels/train stations, carrier or supplier logistical problems, computer problems stranding, food or water poisoning, illness, grounding, perils of the sea, rivers, canals, locks or other waters, perils of navigation of any kind, theft, accident to or from machinery, boilers, or latent defects even though existing at the commencement of the trip, desertion or revolt of crew, or lost/damaged/delayed luggage.
Upon continuation, acceptance or signature, you are agreeing to the above terms and conditions. I hereby certify that I am eighteen years of age or older. I have read this document and I’m signing it voluntarily.
